Wedding Organizing "Ulululu"

The purpose of a wedding organizer itself in a wedding party it's to succeed the wedding event, from the start to the end of the event. Planning their every details on each aspect, so in their happier due booth the groom, the bride, their relative, and family can enjoy and celebrate their special day concordant to their wish and expectation from the event of their wedding itself.
The process of planning and event or wedding as it follows:
  1. The wedding organizer (Called WO), set a meeting with their client to discuss how the thing want to be settle. Starting from what theme they want, the concept of their wedding, location, and detail that correlated to the party.
  2. After the WO have all information, they start to plan the event based on the budget that have been agreed between the client and the WO. Everything is design according to the concept, them and the budget that can the client provide.
  3.  WO start to arrange their vendor for the client event. WO start to brief their vendor what they need and much big the quantity for the event.
  4. After have arrange their vendor, WO start to prepare the decoration and flower arrangement with their respective vendor.
  5.  The creative department from the WO gave idea and concept for their invitation, souvenir that suitable with the wedding concept itself.
  6.  WO organize the documentation, photo and video team for the event.
  7.  Helping in the wedding administration and legal aspect
  8. Make the event rundown and etc
  9. The WO itself positioned as the liaison between the vendor and the client.
  10. Cordinate the wedding event, start from the wedding ceremony to the reception event on the d-day.
  11. Control, observe and supervise the wedding event that proceed with plan that had been design and agreed.
My experience on wedding organizer is to help my cousin wedding, I was tasked for help to plan and execute the wedding event start from the preparation, rent the building, act as liaison between the vendor and my family. I also type the invitation one by one and help them to send he invitation. I was very happy involved in my cousin wedding.
The way to delegate the parts of the job is not difficult thing, because in our WO the department and every part of the WO known their job desk and work hard for make the event doing well. That is the department that reserve venues for ceremonies and receptions, the department that advise couples on themes, floral and other decorations, as well as attire for spouses and wedding parties. We also have the department tp attend fittings for the wedding dress, the department to arrange for or recommend providers of food, decorations, photography, video recording, entertainment and other services and item for wedding and reception. The other part of WO do the order and deliver invitations to guest that invite. And then conduct wedding rehearsals, and oversee placement of seating, tables, floral arrangements, cake, food and other items.
Progress report it's absolutely important for wedding organizer clients, they always want to know how far the preparation and task have completed by the WO for their event. Our WO always giving the latest update to our client every the end of the week, we inform them through contacts that acts as the liaison between vendor and th client. We inform the situation and sit rep by Whatsapp or calling to their respective number if the condition required a fast decision making from the client part. Agreements between the vendor and our client is one of things that we taken carefully, because we have set the current budget so they will not be an over/under budget circumstances. WO it's also required to make a timeline for the wedding event duration and report to their client or approval. Everyone who's participate in the event must know their wedding concept, so it was their responsibility from the WO to brief their client, talent, and their vendors.
Changes in plan is often happen due some circumstances, like there changes that made by the client or the vendor due some reasons. The important things is don't disappointed the client. To prevent that, our WO always try to communicate briefly and routine to our client. If there is a change, we inform that changes and the reasons behind that from changes of plan to increasing the budget for the wedding, so the client doesn't worry about their plan is going accordance or not. The WO must also inform their client about their rules, term and condition like refund mechanism, cancellation and discount.
The last step, the wedding organizer have to make sure the plan is going accordance to the agreements that have been made by the WO and the client. Double check everything detailed so the wedding party will goins smooth as well.
